If you decide to set up services with The Sentient Space LLC, with your verbal consent and permission during our initial consultation call, The Sentient Space LLC will use your name, email, and phone number disclosed to create a client profile in our electronic health records (EHR) system, Simple Practice. Additionally, The Sentient Space LLC will use your name and phone number with your verbal consent and permission to set up a HIPPA-compliant secure texting channel using IPLUM for communication with scheduling, rescheduling and cancellations.

During the initial consultation and setting up services with The Sentient Space LLC, standard SMS text messaging will be used for communication through IPLUM, which is what platform The Sentient Space LLC’s designated business number utilizes. You accept that you are aware that standard text messaging is not HIPPA compliant and should not be used to share Protected Health Information or other identifying information. By engaging in standard SMS communication with The Sentient Space LLC, you acknowledge that if you choose to share PHI or other identifying information it will not be protected health information and you accept responsibility if a breach were to occur. By leaving a voicemail on The Sentient Space LLC’s business phone number, which operates through IPlum, you acknowledge the potential risk of sharing protected health information (PHI) and accept responsibility for any breach of PHI or other identifiable information that may occur.
You acknowledge and accept that once you are set up with IPLUM secure texting channel and the Simple Practice client portal it has a secure messaging feature that is HIPPA compliant and is an option for you.
Communications via email and text messaging are not always secure, and confidentiality cannot be guaranteed outside of HIPAA-compliant platforms
You should avoid sharing sensitive personal health information via email or text unless explicitly agreed upon through a secure method.
The Sentient Space LLC is not responsible for any unauthorized access or data breaches that may occur due to the use of non-secure messaging platforms.
Any urgent or emergency concerns should not be communicated via messaging and should be directed to emergency services by calling 911 or utilizing a mental health crisis hotline by calling 988.
5. Data Security
The Sentient Space LLC uses Google Workspace for business emails, which complies with HIPAA regulations. Google Workspace provides industry-standard security measures, including encryption for data in transit and at rest, secure storage, and access controls. Google Workspace also has its own security and privacy policies, which can be found on their website. However, no electronic system is entirely risk-free, and we encourage you to use your discretion when sharing sensitive information. The Sentient Space, LLC asks you (prospective client) to refrain from sending PHI or other identifying information via email.If you (prospective client) do disclose PHI or other identifying information when reaching out to The Sentient Space LLC via Psychology Today Inquiry Form (that will send us an email to our business email) or our email directly you acknowledge that you are doing this at your own risk and you accept responsibility for a breach of PHI if it occurs.
The Sentient Space LLC utilizes Psychology Today for client inquiries. Psychology Today has its own privacy policies that you can review and read about on their website. When you submit an inquiry to The Sentient Space LLC through Psychology Today, we receive your information via our HIPAA-compliant Google Workspace business email.
The Sentient Space LLC will use Simple Practice for our EHR system. Simple Practice implements rigorous security protocols, including encryption, secure cloud storage, access controls, and HIPAA compliance to ensure the confidentiality and integrity of client records. As a prospective client, you can request that we update or delete your contact information if you no longer want to consider starting therapy services with The Sentient Space LLC.
As a prospective client, if you no longer wish to be contacted by The Sentient Space LLC, you can text STOP to opt out of communication. Upon receiving the STOP request, your contact information will be removed from our records, and you will no longer receive communication from The Sentient Space LLC.
